Each lead stage needs an entry rule, an owner, a next action and an observable outcome.
Map the record from new inquiry to booked review, completed review, qualification and opportunity. Preserve original and recent source context where available. Make missing owners, duplicates, failed integrations and uncontacted leads visible as exceptions.
Automation should honor the communication permissions actually granted and provide a human path when needed. Test opt-outs, missing fields, after-hours requests and webhook failures. Document field definitions, triggers, suppression rules and recovery steps so the client can operate the system.
